A step-by-step guide to print production

identify with the venues and promoters:

  • your target audiences
  • the benefits you believe will best persuade these people to come to your event
  • the best way of communicating with them

discuss with the venues and promoters what format and size of print will be most effective in communicating with the target markets you have identified

ask the promoters for the quantities they will need. A small-scale arts centre will usually need 1,000-1,500 leaflets and 50-150 posters

decide how you will overprint the leaflets and posters with information about individual venues

collect the overprinting information and delivery requirements from the venues and promoters

choose a graphic designer

complete a design brief and get it approved by the artistic team and anyone else necessary

4-12 weeks

meet the graphic designer to discuss the brief. Decide on a rough number of words for the copy. Agree a design fee including expenses

write the copy and get it approved. Check it carefully for spelling mistakes etc Send it to the graphic designer either on disk or in an email

1-2 weeks

the designer will then make some basic decisions about the nature of the print so that either you are they can get some price estimates for printing. If you are getting print quotations, ask the designer to give you the information you need to get accurate prices

* choose three or four printers and get quotations. Remember to tell them your delivery requirements

* choose a printer and confirm the work in writing, giving them a date for the delivery of the artwork (this is sometimes known as 'booking in the job')

* commission photographs or illustrations if necessary

2-3 weeks

collect funding and sponsorship logos, preferably in digital format

discuss the designer's preliminary idea - the 'rough visual'. Get approval from the artistic team and anyone else necessary

proofread the text

designer prepares a finished visual

check the final artwork one last time
